Batch and expiry tracking software that sells the oldest stock first

Expired stock is money thrown in the bin. In a pharmacy it is worse: selling an expired strip can cost you your licence and your customers' trust. In a grocery or an FMCG godown, a carton of biscuits found three months past its date is a straight loss. Most of this happens not because nobody cares, but because nobody can see which batch expires when.

Posify24 records the batch, expiry date and manufacturing date for every lot you receive. When you sell, it picks the batch that expires first. When a batch is getting close to its date, the near-expiry report shows it while you still have time to sell it, return it or discount it.

The batch is entered when goods arrive

Expiry control starts at the purchase. In Posify24, products in categories that need it, such as medicine or packaged food, ask for a batch number and expiry date on each purchase line, so nothing goes into stock without them. You can also record the manufacturing date. See purchase management for the full buying flow.

This is set per product category, not for the whole shop. A pharmacy that also sells baby toys, or a grocery that also sells kitchenware, enters batches only where they matter.

First expiring, first out

Once stock has batches, the order you sell them in matters. Posify24 lets each company choose its pick strategy: FEFO (first-expiring-first-out) or FIFO (first-in-first-out). With FEFO, when you sell a strip of paracetamol, the stock comes out of the batch with the nearest expiry date, even if a newer batch arrived earlier with a later date. The shelf and the system follow the same rule.

The pharmacy, grocery, medicine, agro chemical, animal feed and FMCG presets come with batch and expiry required and FEFO picking, because that is where expiry matters most.

See near-expiry stock before it is too late

The near-expiry report lists the stock that is coming close to its expiry date. Check it every week. You can push those items at the counter, move them to a busier branch with a stock transfer, offer a discount or send them back to the supplier in time.

When a batch does expire, record it as wastage marked expired. The stock goes down and the loss shows in your wastage report, so you know how much expiry is costing you each month.

Batch-wise stock across branches and godowns

The batch and its dates stay with the stock in whichever warehouse or branch it is held, so you know not only how many boxes of a medicine you have, but which batches they come from and when those expire. Stock history keeps every movement, which helps when a supplier or a regulator asks where a particular batch went.

Frequently asked questions

Does Posify24 come with a medicine database?

No. Posify24 does not include a built-in list of medicines today. You add your own products, and pharmacy products have fields for generic name, dosage form and strength, so you can search and sell by them.

Can I sell a medicine by the strip and buy it by the box?

Yes. Units are set per product, and the pharmacy preset includes strip, box, bottle, vial, ampoule and more. You can set the quantity per box, and stock shows as boxes plus loose pieces.

What happens if I try to receive medicine without an expiry date?

For products whose category requires batch and expiry, the purchase line asks for them, so the stock cannot be received without them. Products in other categories do not ask.

Can I use FIFO instead of FEFO?

Yes. The pick strategy is set per company, FEFO or FIFO. FEFO is usually the right choice for goods with an expiry date. Posify24 does not support LIFO.

Will Posify24 alert me when stock is about to expire?

The near-expiry report shows the batches close to their date. Posify24 does not send automatic SMS or email expiry alerts today, so make checking the report a weekly habit.
