How to choose POS software in Bangladesh: 10 questions to ask before you pay

Search "best POS software in Bangladesh" and you will find long lists, each written by a company that puts itself at the top. A list cannot tell you which system fits your shop. Your own business can: what you sell, how you sell it, who owes you money, and how many people and places are involved.

This guide gives you ten questions to ask any vendor, Posify24 included. Take them to every demo. A good vendor answers each one by showing you the screen, not with a promise.

Demo sign-in: demo / demo. The demo resets every day.

1. Is it built for your kind of business?

A pharmacy, a clothing shop, a restaurant and a medicine distributor need different things: batch and expiry for medicine, size and colour for clothes, tables for a restaurant, territories and reps for a distributor. Ask the vendor to show your workflow, with your units (strip, box, pair, bag, square foot), not a generic demo.

Posify24 asks for your business type at signup and sets categories, units and stock rules to match. Pages for retail POS software in Bangladesh, pharmacies, restaurants and distributors show what each gets; a medicine distributor has a page of its own.

2. Does every sale update stock?

The point of a POS is that the bill and the stock never disagree. Ask: when I sell, does stock go down at once? Can I see stock per godown and per branch? Is there a low-stock list, a stock count screen and a way to record damaged or expired goods? See what to expect on our inventory page.

3. How does it handle baki?

In Bangladesh, a large share of sales is on credit. Ask to see a customer's due history, a payment against old invoices, an opening due for customers you already have, and a credit limit. If the system cannot show a customer statement in a few clicks, your khata will stay. Compare with our due ledger.

4. Which payment methods can you record?

Cash, card, bKash, Nagad, Rocket and bank transfer are everyday at Bangladeshi counters, often more than one on the same bill. Ask whether one sale can take several payments, and whether each method keeps its own balance so the evening count is easy. Also ask the plain question: does the software take the payment (a gateway), or record a payment you took on your own merchant account? Posify24 does the second; see bKash and Nagad payments.

5. What does it do about VAT?

If you are VAT registered, ask exactly what the invoice shows (VAT rate, VAT amount, your BIN), whether invoice numbers stay continuous when a bill is cancelled, and whether the vendor claims a Mushak 6.3 layout or NBR enlistment. Ask to see proof of any NBR claim. Note that some business types must also use an NBR electronic fiscal device; software alone does not cover that. Our VAT page states what Posify24 does and does not do today.

6. Cloud or desktop?

A desktop program installed on one shop computer works without internet, but the data lives on that computer, and backups, updates and remote access are your job. A cloud system runs in a browser on any device, keeps the data on a server and lets you check sales from anywhere; ask what happens at the counter when the internet drops. Posify24 is cloud software whose POS counter keeps selling offline and sends those sales when the line is back. Decide which risk you would rather manage.

7. Can it grow with branches and staff?

Ask how a second shop or godown works: separate stock, transfers between them, reports per branch and combined, and users who see only their own branch. Ask what the plan limits on users and branches are. See multi-branch.

8. Who can do what, and can you see who did it?

Staff should get only the screens they need. Ask for role-based access and an audit log that shows who changed or cancelled a bill. Ask whether a confirmed invoice can be deleted (it should not be; it should be cancelled or voided and keep its number).

9. What will it really cost?

Compare the full cost over two or three years, not the first month:

  • Subscription per month or year, and what each plan limits (users, branches, features).
  • Set-up, training and data entry help, if charged.
  • Hardware: a computer or tablet, a barcode scanner, a receipt or label printer.
  • For a one-time desktop licence: yearly support or update fees, and the cost of a computer failure.

Be careful with "free". Ask what is limited, who owns your data, and how you export it if you leave.

10. Can you try it with your own data?

A short live demo is a sales pitch. A free trial where you enter twenty of your own products, a few customers with dues and one day's bills tells you far more. Ask for both.

A short checklist to print

  • [ ] My units, categories and workflow shown in the demo
  • [ ] Stock updates on every sale; per-godown stock; stock count and wastage
  • [ ] Customer dues with opening balance, credit limit and statement
  • [ ] Several payments on one bill; bKash/Nagad balances tracked
  • [ ] VAT on the invoice; invoice numbers stay continuous; any NBR claim proven
  • [ ] Branch stock, transfers and branch reports
  • [ ] User roles and audit log
  • [ ] Two-year cost written down, data export confirmed
  • [ ] Free trial with my own products

If you are still deciding whether you need software at all, read Excel, a paper khata or POS software.

Frequently asked questions

What is the best POS software in Bangladesh?

There is no single answer. The best system is the one that handles your products, your dues and your payment methods with the least extra work. Use the ten questions above on each option, including Posify24.

How much does POS software cost in Bangladesh?

It depends on the model. Desktop software is usually a one-time licence plus support fees; cloud software is a monthly or yearly subscription. Posify24's current plans are on the pricing page.

Do I need a barcode scanner?

Not to start. You can search products by name or code. A scanner makes the counter faster once you have many products, and Posify24 can print barcode labels for products that have none.

Can I switch POS software later?

Yes, but plan it. Ask how to export products, customers and dues before you sign up with anyone.

Does Posify24 have a free trial?

Yes. The pricing page shows the trial for each plan, and there are live demos for each business type that anyone can open without signing up.
